Who we are
HII-Mission Technologies is seeking a Financial Analyst to join the team! This position will be based out of the San Diego, CA area and will be a remote opportunity. Under the general direction of the HII-Mission Technologies Travel Services Manager, the Financial Analyst (Travel Expense) will support and maintain the day-to-day activities of all travel expense authorizations, expense reports, including travel reimbursement, expense audit, receipt audit, corporate Central Travel Account (CTA/Ghost Card) card, direct bill accounts and travel policy adherence.
Key Responsibilities:
- Responsible for booking travel via Concur, creating expense authorizations and expense reports for employees via JPMorgan Chase corporate employee credit cards or CTA/Ghost Cards.
- Creates ADTRAV travel profiles and corporate credit card accounts as needed.
- Cancels corporate credit cards and ADTRAV travel profiles as needed.
- Audits the accuracy of travel expense report information entered in Deltek Expense.
- Maintains the integrity of the online booking tool and expense system and uses financial and accounting procedures in resolving complex problems.
- Assists with submitted timely expense reports for employees when using the CTA/Ghost Card. Coordinates with team members for outstanding CTA/Ghost Card expense items and direct bill accounts.
- Requests supporting documentation to include detail receipts from employees and vendors.
- Explains travel expense reports and accounting policies to employees and provides technical advice to resolve complex discrepancies.
- Ensure expenses are compliant with company travel procedure, Generally Accepted Accounting Principles (GAAP), Federal Acquisition Regulations (FAR), Internal Revenue Service (IRS) guidelines.
- Investigates expense report discrepancies and manage outstanding expense transactions.
- Export/Import expense reports in Accounts Payable (AP) module weekly and resolve Project/Accounts errors.
- Process corrections and adjustments on expense reports.
- Reconcile cash advance and prepaid accounts monthly.
- Perform required maintenance for new/inactive foreign currencies in Deltek Expense.
- Monitor outstanding travel advances.
- Communicate to all levels of employees & management regarding compliance issues for Travel and Expense.
- Identify new ways to add value & proactively take on new tasks.
- Answer employee inquiries, through email, and phone calls and Teams requests.
- Support internal and external audits.
- Establishes, maintains, and coordinates the implementation of complex accounting and accounting control procedures including travel operations to maximize effectiveness and accuracy.
- Creates, researches, and analyzes travel data.
- Recommends, develops, and maintains financial databases, computer software systems and manual filing systems.
- Develops and reviews accounting and related system reports for accuracy and completeness.
- Keeps abreast of new developments in financial accounting and government regulations. Informs management of changes and provides recommendations for implementation.
- Complies with all applicable accounting and governmental regulations.
- Performs additional duties and responsibilities as assigned.
- Participate in special projects as required.
What you need to have:
- 3 years relevant experience with Bachelors in related field; 1 year relevant experience with Masters in related field; or High School Diploma or equivalent and 7 years relevant experience.
- Experience working with Government Billing practices.
- Excellent communication, interpersonal and customer service skills.
- Knowledge of financial and accounting procedures.
- Knowledge of financial and accounting software applications including Costpoint.
- Able to understand and solve billing and collections problems effectively.
- Knowledge of Microsoft applications.
Bonus points for:
- Experience working within Deltek Expense with creating Expense Authorizations and Expense Reports.
- Experience with reconciling CTA/Ghost Card accounts and researching outstanding items.
- Experience booking travel in Concur as a Travel Arranger/Proxy for complex travel arrangements.
- Work with Project Controllers to ensure projects are setup accurately or to add an employee to the workforce.
- Setup long term lease for employees on long term travel using third party vendors.
- Knowledge of GSA guidelines.
- Ability to work within deadlines, multi-tasking and under pressure.
- Require strong customer service skills in addition to excellent oral and written communication skills.
