Job Description

HII’s Unmanned Solutions Group Program Management Office (PMO) looking for a Project Admin to directly support and work with the Project and Program Managers on a day-to-day basis in a variety of program related tasks.  The candidate should have the ability to self manage multiple priorities and deadlines.  The candidate will support the Program team throughout a recurring monthly cycle of project cost and schedule updates, monthly reporting, resource forecasting and project execution activities. 

The successful candidate will work with the Program and Project teams on a variety of administrative tasks, including the following: 

 

  • Program Financial Analysis and Support including:
  • Provide project financial variance analyses relative to baseline plans
  • Monitor project labor and material expenses and report variances.
  • Develop project schedules.  Provide monthly project schedule updates with project team input
  • Develop program Estimate to Complete (EAC) updates
  • Update labor and material plans for Order Income Opportunities
  • Perform audits of non-labor expenses
  • Process various financial forms (at risk spending requests, closeouts, PCRs, BCRs etc…)
Essential Job Responsibilities

Performs variety of activities in support of functional areas such as finance, purchasing, or human resources or for a specific project/business/technical unit. Gathers, collects, records, tracks and verifies data and information from multiple sources. Compiles, reviews and analyzes data. Uses software for functional area, to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations. May design processes to enhance work flow. Provides data and information to others on functional unit processes and procedures.

Responsibilities contain, but are not limited to:

  • Execute and track material requisitions
  • Create Shipping Authorizations used for shipping and/or invoicing purposes
  • Provide key inputs to monthly project reports
  • Perform data entry for project risks as directed by the Program team
  • Assign hours for individuals as required (weekly)
  • Support production status meeting, backlog meeting, boat planning , and other recurring meetings as required
  • Process project close out forms
  • Process Expense Reclass forms as required
  • Process Project Change Request
  • Load project data into Confluence environment and maintain on a monthly basis
  • Initiate new project folder structures and populate with key items
  • Coordinate JIRA/issue tickets across multiple projects
  • Support CS team with RMAs etc…
  • Maintain GFE logs for various projects

Minimum Qualifications
  • High School Diploma or equivalent and 2 years additional education and/or related experience.
  • Must have secret clearance
Preferred Requirements

 

  • Ability to juggle multiple activities and be flexible with changes to priorities
  • Familiarity with financial accounting principles or practical experience with budgets, costs, sales
  • Experience with ERP tools such as Costpoint/Deltek
  • Experience with administrative tasks (filling out forms, record keeping, etc…)
  • Ability to collaborate and work across business areas (engineering, manufacturing, program office, finance, compliance,  etc..)
  • Experience with a manufacturing environment a plus
  • Experience with full project lifecycle (design, production, integration,  test and delivery) a plus
  • Strong communication skills – written and oral
  • Attention to detail
  • Resourceful
  • Capable of finding innovative solutions to problems
Physical Requirements
Minimal mobility, dexterity, or coordination required to operate common business machines. Maximum lifting required is approximately 40 pounds from floor to three feet in height.
