Job Description

The Facilities Representative 1 provides essential administrative, logistical, and facilities support to the JIFX program at the Naval Postgraduate School. This role supports planning, coordination, and execution of field experimentation events by assisting with space management, participant coordination, equipment tracking, and general administrative operations. The Facilities Rep 1 works closely with JIFX leadership, visiting participants, and NPS staff to ensure smooth program delivery and efficient facility use.

Essential Job Responsibilities

 

Support JIFX event operations through administrative tasks including registration, check-in, and coordination of participant documentation. 
• Assist with facility setup, space allocation, and preparation before and during experimentation events.
• Maintain inventory of office and facility supplies, equipment, and materials; coordinate replenishment as needed. 
• Perform routine clerical duties such as data entry, filing, scheduling, and organizing digital and physical records.
• Coordinate logistics related to experimenter arrival, access requirements, and basic support needs.
• Provide customer service to experimenters, visitors, and staff, ensuring a welcoming and efficient environment.
• Support office workflow by identifying opportunities for process efficiency and maintaining organized workspaces. 
• Communicate effectively with the lead team and contribute to collaborative problem-solving.
• Assist with the movement, delivery, or tracking of small equipment or materials needed for experimentation events.
• Provide additional general support to the JIFX administration team as assigned.

Minimum Qualifications

  • 0 years experience with Bachelors in related field or a High School Diploma or equivalent and 4 years relevant experience.
  • Basic experience in administrative support, office management, customer service, or logistics.
    • Ability to perform clerical tasks including data entry, document handling, and scheduling.
    • Comfortable using computers for light office tasks such as email, simple data entry, and digital record management.
    • Strong organizational skills with attention to detail.
    • Ability to work in fast-paced, event-driven environments.
    • Effective communication and interpersonal skills.
    • Eligibility to work on-site at NPS and comply with campus access protocols.
 

Preferred Requirements

Experience supporting military, academic, or field‑event operations.
• Prior administrative experience with the Naval Postgraduate School or equivalent government organizations.
• Experience performing inventory maintenance or coordinating logistics.
• Strong time-management habits and experience developing or improving workflow efficiencies.
• Experience interfacing with diverse groups (experimenters, faculty, contractors, government personnel).
• Proven reliability, collaboration, and ability to independently manage tasks.

Physical Requirements

Job performance will normally require only minor lifting and carrying of boxes of records or equipment.
