Job Description

HII Mission Technologies seeks a Project Management Analyst to support a federal agency's Chief Information Officer (CIO). The ideal candidate will have proven experience supporting executive leadership, including C-suite executives and senior government/military stakeholders.  In this role, you will manage the CIO's daily schedule, anticipate and resolve scheduling conflicts, and prioritize tasks based on departmental objectives and urgency.

 

Our ideal candidate for this role will have a steady employment history, a secret security clearance, and experience supporting C-Suite executives within a government and/or military environment.

 

The position requires full-time onsite attendance in Arlington, VA.

Essential Job Responsibilities

 

What you will do

 

Executive Support Responsibilities:

  • Proactively manage C-Suite Executive's daily operations
  • Maintain calendars
  • Prepare meeting materials
  • Anticipate and fulfill CIO's needs
  • Provide relevant supporting information

 

Stakeholder Management:

  • Coordinate with Division Chiefs, Branch Chiefs, and Senior SMEs
  • Ensure timely access to briefings and messaging materials
  • Build and maintain relationships with senior leaders
  • Establish efficient communication protocols

 

Information Flow Management:

  • Screen and prioritize inquiries for CIO attention
  • Coordinate with other support staff and teams
  • Process documentation and briefing materials
  • Schedule and organize meetings

 

Project and Administrative Support:

  • Research and compile data for analysis
  • Create reports, presentations, and communications
  • Review documents for grammar and DoD compliance
  • Monitor tasks to ensure projects/assignment are completed on time and efficiently
  • Manage New Hire Briefing coordination

 

Strategic Alignment:

  • Align daily tasks with organizational goals
  • Understand CIO mission and organizational structure
  • Recommend improvements for stakeholder engagement
  • Coordinate cross-functional efforts

Minimum Qualifications

 

  • 6 years relevant experience with Bachelors in related field; 4 years relevant experience with Masters in related field; or High School Diploma or equivalent and 10 years relevant experience.
  • Proficient in the use of Personal Computers (PCs) and MS Office Suite of applications, especially in Microsoft Outlook including daily/weekly views of 1 or more calendars.
  • Ability to work with minimal supervision and/or established procedures; able to assist with orientation, training, assigning and verifying the work providing non-substantive input (e.g., grammar corrections).
  • Strong interpersonal skills and clear, concise communication style; Able to collaborate with frequent contact representing outside organizations as well as individuals of significant importance.
  • Must have the ability to demonstrate skill, tack, persuasion and/or negotiation to accomplish the objectives of the communications.
  • Experience managing senior-level scheduling including coordinating and executing meetings and teleconferences.
  • Experience using the Defense Travel System (DTS).
  • Experience monitoring and supporting Correspondence and Task Management System (CATMS).
  • Experience drafting and reviewing correspondence in accordance with DoD Written Correspondence (DoD5110.4-M).
  • Experience conducting minor research supporting executive-level inquiries.
  • Clearance:
    • Must possess and maintain a Secret clearance at the time of application and consideration.

Physical Requirements

  • Work is performed in a professional office environment and is primarily sedentary.
  • Must be able to remain in a stationary position for extended periods while working at a computer, managing calendars, preparing documentation, and supporting executive-level communications.
  • Ability to operate standard office equipment, including computers, keyboards, monitors, telephones, printers, and video conferencing tools.
  • Must be able to move throughout the office to attend meetings, coordinate with staff, and support the CIO and senior leadership as needed.
  • Ability to lift and carry lightweight materials (typically under 20 lbs), such as briefing binders, laptops, and presentation materials.
  • Adequate vision and dexterity to review, edit, and prepare documents, briefing materials, and correspondence with a high degree of accuracy.
  • Must be able to communicate clearly and effectively in person, by phone, and in virtual environments, including delivering information to senior stakeholders.
  • Position requires full-time onsite attendance in Arlington, VA, with the ability to work extended or adjusted hours during high-priority periods, senior-level engagements, or urgent taskings.
